Team meetings can be a great way to keep your team motivated and on track. However, they are also an important part of establishing a systems mindset and a culture of cooperation around improving and standardizing operations.  Here are 3 questions to include on every team meeting agenda to keep your team thinking about processes and systems.

  1. What can we do to be more efficient?

When you ask this question regularly, your team is going to know that they have a place where they feel safe, where they can express their ideas about how they think things could be run smoother and more efficiently.

This is a great way to get them thinking in that process mindset. It is also a great way for them to be able to share how they are currently doing things. It will also give you insight into what your team is thinking about efficiency. Together you can decide if there is something different that you want to try to see if efficiency can be improved.

  1. What can we do to be more profitable?

This is a little bit of a tweak on the efficiency question, because a lot of the things that they may come up with for profitability may also be related to efficiency.

They may say things like I’m doing this part of the process and you know, my assistant really could do this part and be able to save some money for the company by using a lower wage worker, to complete this part of the task.

It is also helpful for them to be able to express other pieces of information that they have found out that maybe you were not aware of, like maybe one of your competitors have recently raised their rates and they may suggest you have room in there to be able to raise your rates as well.

Including this question on every team meeting agenda is also a great way for them to think about the company as a whole and how their piece of the puzzle contributes to the company’s overall profitability.

  1. Are there any Standard Operating Procedures that need to be documented or updated?

This question keeps your team thinking in that systems mindset by knowing that they are expected to refer back to those Standard Operating Procedures and that your culture is a culture of systemization.

Including this question on your team agenda also reminds them that when things change you want to make sure that everything is documented correctly so that it can be replicated by other team members or used when onboarding new hires.

Including these three simple questions on every team meeting agenda will help your team to be able to start implementing that systems mindset, and keep you moving forward.

If you do not have Standard Operating Procedures in place, we would love to help make your business simple.  Check out our SOP Simplified course where we will show you how to easily set up operating procedures for your company while still keeping things running.
