Do you ever feel overwhelmed by all of the chaos around you in your business? What I have learned is that the best way to give yourself peace of mind is to make sure that you have established systems and processes for your business and that your team is using them.
The first step to really achieving that peace of mind through processes is to know what your process is. Sometimes you do something so often in your business that the process just happens and you do not give much thought to the steps involved.
Ask yourself, “What steps do I take when I write and post a blog post? What are the steps I need to take to close a sale?” For each task that you do, stop and notice each of the things that you do. You probably do have a process for most things, you just have not defined them yet. So the first step is to get clear on what those processes look like in your mind, and then to start documenting them.
Once you start documenting the processes, you are going to start getting some peace of mind because now you can begin to delegate parts of the process to someone else. You also have things that you can hire out if you want to be able to permanently get things off your plate.
The documentation phase of your process will give you so much peace of mind, knowing that if you wanted or needed to take a day off, the whole world would not collapse because what you do is documented so somebody else could pick up tasks and get the work done.
The second step with processes is to automate them, either through CRM software or project management software. Once you have defined your processes, it is important to have one central online location where you can track how your progress is going with your leads, sales, or the projects that you are fulfilling. It is nice to be able to have one central place to track all of that data.
The third part of using processes to create peace of mind is forecasting. Once you have been tracking the data and your processes for a while, you will be able to start forecasting. For example, you can determine reasonable sales expectations for an upcoming month based on the prior months or prior years, or the current activities that you and your team are doing. You will also be able to forecast what your project fulfillment will look like.
When you know what is coming up and what kind of time and resources fulfillment will be required, you can make sure you are not giving yourself too many things to do or increasing your stress level.
